The Difference Between Planning Corporate and Private Events 

While every event at Once Extraordinary Events is, of course, extraordinary, each one is uniquely  tailored to the client and the occasion. Whether a company is planning an employee retreat or your  favorite aunt is celebrating her 40th birthday, every successful event follows a thoughtful planning  process that ensures the client’s vision comes to life. 

Before the planning process begins, event planners must adopt the right mindset for the type of  event they are creating. 

Private events are driven by emotion, personal connection, and atmosphere. For an event planner,  this means approaching every decision from a personal perspective and taking the time to truly  understand the client. It also means using those insights as creative inspiration to bring their dream  event to life. 

Corporate events require a slightly different approach. While we still build close relationships with  our clients at Once Extraordinary Events, the event itself should reflect the company’s identity.  Corporate events often aim to communicate brand values, strengthen team relationships, celebrate  business milestones, or impress clients. For Private Events 

We often encourage our clients to answer one simple question: What is the purpose and theme of  your event? 

For example, a wedding celebrates the beginning of a marriage, while the overall theme reflects the  couple’s personal style and vision. 

For Corporate Events 

Corporate clients are instead asked: What is the objective of your event? 

Are you celebrating a product launch, showing appreciation for clients, or strengthening team  relationships? Whatever the occasion, there should be a clear objective that determines how you  want guests to feel and what you want them to think about your company, long after the event  concludes. 

Once the brainstorming stage is complete, it’s time to bring the event to life by creating the guest  list. 

A guest list can make or break an event’s success, so it’s important to establish priorities based on  the type of event being planned.

Private events generally offer more flexibility because the final guest list is determined by only a  handful of key decision-makers. These celebrations typically include close friends and family,  making the selection process relatively straightforward. However, family dynamics can sometimes  be complicated, and planners often find themselves acting as mediators. Being prepared to navigate  sensitive conversations and differing opinions is just as important as managing the logistics. 

Corporate events often involve a much broader and more diverse guest list. Attendees may include  employees, executives, clients, media representatives, investors, or strategic partners. Because of  this, planners may implement tiered invitation systems to manage capacity while maintaining  exclusivity. They also tend to rely more heavily on digital planning tools, such as RSVP  management platforms, to track attendance, dietary requirements, seating arrangements, and other  guest details. 

Another area where the differences between private and corporate events become especially  apparent is the budget

Private events are typically funded by individuals or families, making budgets more personal and  often more flexible. Corporate event budgets, on the other hand, must align with business objectives  and usually require internal approval and financial justification. Every expense should support the  event’s overall goals and deliver measurable value.
